Camera-Ready Upload

Authors of the accepted full, short, poster and demo papers are required to upload the camera-ready version of their manuscripts. The deadline to upload camera-ready is 12 March 2021.

Please carefully follow the instructions below.

All authors of accepted papers are requested to prepare the following documents and upload them in JEMS.

  1. Validated PDF file of the camera-ready manuscript
  2. Author Registration Receipt

1.  Validated PDF file of the camera-ready manuscript

Step 1: Revision

Revise your manuscript based on the reviewer’s comments. Some reviewers are very specific in pointing out what can be improved in your paper. You should read those comments and revise your manuscript accordingly. When you make your camera-ready version, make sure that your paper does not exceed 8 double-column pages for Full papers, 4 double-column pages for Short Papers and 2 double-column pages for Poster and Demo papers  (all excluding references). The paper templates are available on IEEE Manuscript Templates for Conference Proceedings

Step 2: Copyright Clearance Code

Put one of the appropriate copyright clearance codes on the bottom-left of the first page of your manuscript according to the guidelines set in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at https://www.ieee.org/publications/rights/

      Copyright Clearance Codes:

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-0-7381-1420-0/21/$31.00 ©2021 Crown

  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-0-7381-1420-0/21/$31.00 ©2021 European Union

  • For all other papers, the copyright notice is: 978-0-7381-1420-0/21/$31.00 ©2021 IEEE

If you are preparing your paper in LaTeX and you are using the IEEEtran document class, this may help:

  • Add the following code before the \maketitle command:
    \IEEEoverridecommandlockouts
    \IEEEpubid{\makebox[\columnwidth]{978-0-7381-1420-0/21/\$31.00~\copyright2021 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
  • Add the following code after the \maketitle command:
    \IEEEpubidadjco

Make sure you use the appropriate IEEE copyright notice string, as explained above.

Step 3: Validated PDF file

You need to validate your PDF using IEEE PDF eXpress. If you do not yet have an account with this service, you should create one (it is free). When asked for the Conference ID, enter “51069X” (without the quotes). Upload your camera-ready manuscript in one of many formats supported by the service and download your validated PDF when ready.  IEEE eXpress can read the following formats:

  1. Microsoft Word, eXpress will convert it into the validated version of PDF.

  2. PS (postscript), eXpress will convert them without a problem.

  3. ZIP file containing DVI file plus EPS files for graphics, eXpress will render them and output PDF for you.

You can read instructions at IEEE eXplore for further detail and other formats.

If validation succeeded, you would receive the validated PDF file labelled as ‘Certified by IEEE PDF eXpress’ in document properties. You should upload it in JEMS.

Step 4. IEEE e-Copyright Transfer Agreement

Once you’re at your page for your paper in JEMS, click on the button “Submit to IEEE Copyright System“. This will then walk you through a series of steps. Make sure that the title/author list is EXACTLY as it’s in your final camera-ready manuscript. If any correction is to be done, please do this first before proceeding with the copyright step.

Once you click on the “Submit” button, the process will be completed, and you will receive a copy of the signed agreement via e-mail.

2. Author Registration Receipt

You need to complete author registration for your accepted paper: https://icbc2021.ieee-icbc.org/registration

Make sure that the JEMS Paper Number and Paper Title should be input correctly during your author registration. When you complete the payment for author registration, you will receive a receipt for your registration via e-mail. You should upload it to JEMS.
